What It's Actually Like to Work With a Luxury Travel Advisor, Start to Finish

At a glance: Working with an advisor doesn't end when you book, and it doesn't end when you land either. Here's the full arc, from your first email through the last day of your trip, and everything that happens in between that you never see.

The Inquiry

Before we ever get on a call, homework already happened. Destination logistics, seasonality, what's realistic for the trip you're describing. That means the first conversation isn't spent explaining basics, it's spent actually planning.

The Call

This isn't a logistics checklist. Yes, we're gathering details, dates, budget, who's coming. But the real goal is understanding why you're taking this trip, what you want to feel, what you're actually hoping to get out of it. That matters more than whether you take a train from Lisbon to Porto. Everything you say gets captured too, so a detail you mention once in passing doesn't get lost, it shows up in your itinerary months later.

Building the Proposal

This is the part that takes the longest, and it's the part most people never think about. We're not choosing from a list of packages. We're sourcing hotels, checking real availability with partners on the ground, and pulling on relationships built over years with DMCs, ground operators, and property owners who don't take bookings from the general public.

That's where access that isn't findable online comes from. A winter window in Patagonia most advisors don't know exists, because a property owner mentioned it in a conversation, not a listing. A hotel that isn't fully online yet. A restaurant that doesn't take outside reservations. None of that shows up in a Google search. It shows up because someone already had the relationship before you ever asked.

Every cost gets built out fully loaded before you see a number, so there's no surprise line item later.

Delivering the Proposal

The proposal isn't just a document that lands in your inbox and goes quiet. You get the full itinerary to walk through on your own, and a Loom video where I explain the actual thinking behind it, why this hotel over another, why the days are sequenced the way they are, what to expect at each stop. You should understand the reasoning, not just see a price.

After You Book: The Details No One Sees

Most people assume the job is done once a proposal is approved. It isn't. In the month or two before departure, we're locking dining reservations before tables disappear at the places that are hardest to get into. We suggest a photo shoot even when nobody asks, because most people don't think to request one until it's too late to arrange. Instead of leaving the spa to whatever's available when you arrive, we send the menu ahead of time and secure the best slot before you've even landed.

I have someone on my team whose job, every day, is going through trips two months out and handling exactly this. You never have to ask for any of it. You just experience a trip where the things you'd want taken care of already have been.

On the Trip: Support That Doesn't Stop

Once you leave, you're not on your own. You have continuous support from us and from our partners on the ground for the entire trip. If something needs to change, or something comes up, that's handled in real time.

One client in Greece needed to see a doctor for a minor issue, nothing serious, just something that needed antibiotics. It happened while we were asleep in California. Our ground partner got her an appointment and sent a driver. By the time we logged on for the day, it was already handled. She didn't lose a single afternoon of her trip to it, and she didn't have to solve it herself.

That's the difference between booking a trip and having someone actually responsible for it while you're there.

Frequently Asked Questions

How long does the process take, from inquiry to proposal?

A week or less, most of the time. It can take longer for more complex trips, but the goal is always to get you a real, fully-priced proposal fast without cutting corners on the research behind it.

What's included before I even see a proposal?

Research into your destination, a real conversation about what you want out of the trip, full hotel and partner sourcing, and fully loaded pricing, all before anything reaches your inbox.

How is the proposal delivered?

As a full itinerary document, along with a Loom video walking through the choices and reasoning behind it.

Does the work stop once I book?

No. The month or two before departure is when reservations, spa timing, and other finishing touches get handled, and support continues for the entire trip itself.

What happens if something goes wrong while I'm traveling?

You have support from us and from partners on the ground throughout the trip. Issues get handled in real time, often before you even have to ask.

Do I need to know exactly what I want before reaching out?

No. Part of the first call is figuring that out together.
